At KoolSchool, protecting educator and student privacy is core to our mission. Following the strict standards established by modern EdTech providers, we operate under a simple principle: We collect only the minimum data necessary to support teaching and learning, and we never monetize user data.

1. Our Core AI & Data Commitments

  • Zero Model Training: We do not use student work, prompts, teacher inputs, or generated outputs to train, fine-tune, or retrain public or proprietary AI models (e.g., OpenAI, Anthropic, or internal models).

  • Strict Tenant Isolation: Data for each school or district is partitioned in secure cloud environments to prevent cross-school data exposure.

  • No Selling or Advertising: We do not sell, rent, or trade personal data to third parties, nor do we display ads or build targeted advertising profiles on students or educators.

  • Selective Context Access: Like modern web-integrated tools, KoolSchool only accesses or processes content or documents when actively triggered by a user.


2. Information We Collect

We collect personal information through direct user input and automated system logs:

A. User-Provided Information

  • Account Information: Names, school email addresses, institutional role (e.g., teacher, administrator, student), and authentication credentials (via Single Sign-On like Google Workspace or ClassLink).

  • User Inputs & AI Prompts: Content uploaded or entered into KoolSchool (e.g., rubrics, lesson plans, essay prompts, custom chatbot instructions).

  • Student Activity: Student-submitted responses, AI chatbot interactions, and coursework generated within authorized assignments.


B. Automatically Collected Technical Data

  • Technical Logs: IP addresses, device/browser types, operating systems, and basic usage analytics necessary to debug system issues, maintain platform reliability, and ensure performance.


3. How We Use Information

We process information strictly for authorized educational purposes:

  • Delivering platform functionality (e.g., real-time AI feedback, interactive tutoring, differentiated reading levels, and automated lesson planning).

  • Providing school administrators and teachers with visibility into learning progress and AI usage logs

  • Customer support, system performance monitoring, and platform security.


4. Cookie Policy & Tracking Technologies

A. What Are Cookies?

Cookies are small data text files placed on your computer or mobile device when you visit a website. They are widely used by software platforms to maintain secure user sessions, remember preferences, and ensure smooth functionality.

B. Our Cookie Guarantees

KoolSchool does NOT use third-party advertising cookies or tracking pixels to serve targeted ads or build advertising profiles.

C. Types of Cookies We Use

  • Strictly Necessary Cookies (Essential): Required for core platform functionality, user authentication (keeping you logged in as you navigate classroom features), and session security. The platform cannot function without these cookies.

  • Performance & Functional Cookies: Store user settings and interface choices (e.g., language choices or active classroom states) to deliver a consistent user experience.

  • Analytical & Technical Cookies: Privacy-focused analytics tools that collect aggregate, anonymized technical data (e.g., error logs and system response times). No student coursework or individual student identities are linked to these analytics.

5. Third-Party Infrastructure & AI Subprocessors

To deliver platform capabilities, KoolSchool partners with vetted cloud infrastructure and LLM providers:

  • Secure Enterprise APIs: AI models are accessed via enterprise-grade APIs where sub-processors are contractually bound not to store inputs/outputs for their own purposes or use user data for model training.

  • Data Protection Agreements (DPAs): All third-party infrastructure vendors are bound by strict DPAs enforcing industry-standard security and confidentiality protocols.


6. Compliance with Educational Regulations

  • FERPA (Family Educational Rights & Privacy Act): KoolSchool acts as a "School Official" with legitimate educational interests. School districts retain full ownership and control over educational records at all times.

  • COPPA (Children's Online Privacy Protection Act): KoolSchool relies on school or parental authorization to collect information from students under 13 solely for educational services.

  • PPRA (Protection of Pupil Rights Amendment): KoolSchool does not administer surveys, analyses, or evaluations collecting sensitive personal information (e.g., political affiliations, mental health statuses, or family income).

  • GDPR & State Privacy Frameworks: We maintain administrative, physical, and technical safeguards designed to comply with global standards and state-specific student data privacy regulations.


7. Security & Data Retention

  • Encryption: All data is encrypted in transit using TLS 1.2+ protocols and encrypted at rest using AES-256 standards.

  • Retention: Data is kept only for as long as necessary to fulfill contractual obligations with schools. Inactive accounts and associated logs are purged according to our retention schedule, or immediately upon written request by the school district.


8. User & Parental Rights

Parents, educators, and school administrators have the right to access, inspect, modify, or request the deletion of personal data stored within KoolSchool.
